Roster

Use the dropdown at the top of a column to sub in a different instructor for that whole column. It updates the Master Window and Pool Map automatically.

Subs

Master Window — who's teaching what, all season

Sets across the top, instructors down the side. A filled cell means that person is teaching that set; a red cell means they're double-booked within it. Use "Export Season Workbook" in the header up top to bundle Staff availability, this Master grid, and every roster into one Excel file, one sheet each.
Every roster's Subs list, in one place — edit or remove a row here and it stays in sync with that roster's own Subs section. New subs are added from the roster itself, not from here.

Pool Map

Drag any block to a different slot to move it — it snaps into place. Drop it on a slot that's already occupied and both blocks share that spot side by side. Each 15-minute panel is independent, so moving a block in one panel doesn't move it in any other. In Edit mode, drag an instructor from the legend below to add them to an open slot. The × on a block pulls it off today's map for just that one time slot — it doesn't touch their roster schedule, and the class still shows in whichever other panels it spans — and dragging that instructor back onto the same panel restores it. A panel with nothing left in it drops off the grid. "Undo" appears after any drag, drop, or delete and reverses just that last action. "Clear Map" wipes everything currently placed on the map (not the Roster) so you can rebuild the layout from scratch.

Calendar —

Rosters show up here once they have a day of week and a start/end date set from that roster's Edit Details (⋮ menu in the sidebar). Click a chip to jump straight to that roster.

Certifications — Bronze, etc.

Click "+ Add Certification" to start a new one — it's its own standalone schedule, no roster needed. Click the Dates cell to open a calendar and pick the exact dates it runs on directly (in the table or the Add form); once at least one is picked, it shows up automatically on the Calendar tab. Check Co-Teach to add a second instructor. You can also click the ★ on a Roster column to start tracking a certification for that instructor slot instead — those still show up here too, with an "On Map" checkbox (or the × on its block) to hide the block for a stretch without losing its details.

School Boards

Each profile is its own mini-roster for a school board: the school's name, the days/times they come in, and how many instructors it needs. The number of slots always matches "instructors needed" — assign any of your existing Staff to fill them, same as picking an instructor on a regular Roster column.

Staff — roster of instructors

Click AM/PM to mark availability (navy = available). The list always stays in whatever order you've dragged it into (your seniority order) — use the Filter row's AM/PM buttons instead — matches sort to the top (dimmed rows are unavailable) without hiding anyone or touching their real seniority spot. Drag the ⠿ handle — or any row — up and down to reorder the list. Someone can't be removed while they're currently assigned to a class — reassign them first on the Roster tab. Check the box on the left to select staff (Shift-click to select a range) — you can then remove or copy multiple at once.

Volunteers

Same idea as the Staff list — add a volunteer's name, then click AM/PM to mark when they're available (navy = available). Drag the ⠿ handle to reorder.
Roster Assignments
Link a volunteer to a specific roster, and how much of it they actually cover — the whole set, just certain days within a date range, or a hand-picked list of dates. Shows up here and as its own chip on the Calendar tab.

Auto Shop

Permanent class settings — add a class name (like "Preschool 1" or "Swimmer 2") once here and it'll show up in the Class Bin every time you edit any roster, instead of having to re-add it each time.

Manage Access

People listed here can sign in and edit the shared schedule. Set a username for someone and you'll get back a one-time code (good for 7 days) — give them both, and on the site they enter the username, the code, and a password of their choosing to finish setting up. Nothing is sent automatically.

Backup

Downloads everything — every season, roster, the pool map, certifications, staff, volunteers, and the activity log — as one file you keep on your own computer. Good to grab every so often, or right before a big change you're not 100% sure about.

Automatic Backups

The server also takes its own snapshot automatically on a day the app gets opened at all (no need to remember) and keeps the most recent 30. These live on the server, separate from anything you've downloaded yourself — download one here if you need to recover from a specific point in time.

Judgment Zone

Deleting an instructor, roster, season, certification, or volunteer sends it here instead of erasing it right away. Reverse restores it exactly as it was; Approve confirms the deletion for good.

Activity Log

Who added, removed, renamed, or moved what, and when — including Judgment Zone decisions. Newest first.

Couldn't load your schedule

Hang tight

We couldn't confirm what's saved on the server — this can happen if the site's been idle and needs a moment to wake back up. Nothing has been changed or lost; the app just won't show or save anything until this is confirmed.

Add New Season

Upload the season's Excel workbook. Each sheet is scanned best-effort for an instructor/lane header row and lesson cells — sheets that don't match a recognizable layout are still added, flagged for manual entry.

Starts an empty season with no sets yet — add structure from the Roster tab as you go.

Copies the day/lane/lesson structure of an existing season, but clears every instructor assignment so you can staff it fresh.

Add New Roster

Starts an empty roster in the current season — add columns and lessons from the Roster tab.

Upload an existing workbook for this roster. Each sheet is scanned best-effort for an instructor/lane header row and lesson cells — sheets that don't match a recognizable layout are still added, flagged for manual entry. Every sheet becomes its own roster in the current season.

Applied to every roster this workbook creates, so the Calendar tab is already set up — no need to fix it sheet by sheet afterward. Leave blank to fall back to guessing from each sheet's tab name (rarely works).

Reload to see the latest version, then redo your change if it's still needed. If you're sure what's on THIS screen is actually the version that should win, you can keep it instead — that will overwrite the other update.

Schedule conflicts this season

Same instructor, overlapping times, on the same roster. Review each one, jump to it to fix it, or ignore it if it's not actually a problem.

Export Pool Map to PDF

Only the time sections that actually have something scheduled are included. Choose how many to fit on each printed page — your browser's print dialog opens next, where "Save as PDF" produces the file.

Export Day (All Rosters)

Combines every roster that meets on the day you pick into a single PDF, one after another.

Edit Roster Details

Click any dates this roster skips (holidays, breaks, etc). They're excluded from the Calendar tab and the class count below, and listed in the title automatically.

Auto-filled from the days/dates/skip-dates above as you fill it in — feel free to type over it if you want something different.

Shown next to the roster's name on the Pool Map. Leave blank to auto-count the actual class dates between the start/end dates above (minus any skip dates).

Add Certification

Not tied to any roster — this is its own standalone schedule. Click "Pick dates…" and select the exact dates it runs on (or leave it blank and fill it in later from the table below); once at least one date is picked, it shows up automatically on the Calendar tab.

Add School Board

The number of staffing slots on this board's profile always matches this number — raising it adds blank slots, lowering it drops the extra ones from the end (existing assignments in the slots that remain are kept).

Add Instructor

Adds them to the Staff list and assigns them to this slot right away.

Add Volunteer Assignment

Click any dates this volunteer is actually covering.

Edit Class Type

This only changes the template shown in the Class Bin going forward — classes already scheduled on a roster keep their own name and time.
